Job Description SummaryInnoveering has an opening for an Administrative Professional to join their team in their Bohemia, NY office.

The Administrative Professional will support different functions such as; Security, Program Management, and the Facilities as a whole. The first and most vital responsibility is to greet and welcome everyone who approaches the front desk. The Administrative Professional will assist all visitors in an expedient and professional manner to create a positive visitor/client experience.
The position will also be responsible for assisting with various administrative / program tasks and ensuring the implementation and maintenance of our visitor security procedures.

Job Description

Responsibilities/Job Description:

Front Desk / Visitor Controls

  • Monitor and control access at buildings main front entrance
  • Answer Company Calls – swiftly answer, screen, and transfer all incoming calls to appropriate destination
  • Maintains Employee Badge Log
  • Will manage all Visitors to facility:
  • Send visitor verification request to all visitors via email communications
  • Follow up on all visitor verification documentation to ensure U.S. Citizenship status to be cleared for visit
  • Verify visitor identification and credentials
  • Assure visitor sign-in and sign-out logbook is annotated
  • Issue visitor badges upon arrival and retrieve upon exit
  • Provide visitors with evacuation procedure/pamphlet
  • Maintain visitor credential log to avoid repeat visitor documentation requests
  • Handle hotel reservations for guests as needed
  • Verify all security visitor requirements are posted and enforced.
  • Perform visitor property inspection as required. Make sure all cell phones are left in vehicle or secured in cell phone locker in lobby
  • Notify company host of visitor arrival
  • Oversee all breakfast and lunch orders for visitor meetings (including ordering of food, set up,
  •  and cleanup)

Administrative Support:

  • Work with Purchasing department to help procure and replenish kitchen and office supplies
  • Coordinate internal company events, i.e. – for the ordering of food, set up, and breakdown/cleanup – weekly bagel order, monthly birthday cake order, business luncheons, all hands meetings, etc.
  • Submit expense reports for all catering orders
  • Event Planning – will help to research, organize, plan Company events.  Coordinate event planning requirements with Business Administrator, HR Manager and Management when required.
  • Maintain company directory with extension and email information
  • Help with community outreach initiatives (food drives, coat drives, toy drives, etc. during the year)


 

Program Analyst Assistant Support:

  • Learn the Unanet System and run reports for Innoveering Program Management department
  • Help to create and monitor weekly program financials for adherence to program budget with regard to labor spend, ODCs and task hour charging
  • Assist Innoveering PMs to support project planning (through financial reporting), and monthly resource planning
  • Help develop financial charts to support Monthly PMRs if required by the PMs

Required Qualifications:

  • Must be a US citizen
  • Associate degree in business administration or equivalent preferred
  • 5 years of experience in a business administrative coordinator role
  • Must have solid working knowledge and skill set of using the Internet, Microsoft Office (Email, Word, Excel) applications.

  • Excellent interpersonal and customer service skills
  • Effective listening skills and attention to details
  • Ability to work independently and be able to multitask while meeting various deadlines.
  • May need to be able to obtain security clearance through the company in the near future.

The base pay range for this position is $63,000 to $105,100.  The specific pay offered may be influenced by a variety of factors, including the candidate’s experience, education, and skill set. This position is also eligible for an annual discretionary bonus based on a percentage of your base salary/ commission based on the plan.  This posting is expected to close on April 12, 2024.
