Supporting the US Payroll Team, the Specialist will be responsible for processing the US Payroll and the delivery of Payroll Services to our US employees. The specialist will be responsible for the day-to-day operations, ensuring accurate and timely delivery of all services provided to the US based population.

Key Functions and Accountability:

  • Develop and maintain thorough comprehension and understanding of the Air Canada US internal payroll process, system, time and attendance recording.
  • Administration of multi state payroll processing; multiple pay cycle frequencies ensuring paycheques are processed and delivered accurately and on time.
  • Process ad-hoc adjustments such as manual checks, reversals, and stop payments.    
  • Manually calculate individual retro-active payments when required to address a change in an employee’s pay.    
  • Manually calculate new and existing garnishments, each pay period.
  • Ensure adherence to the collective agreements as well as provide guidance to internal customers in matters related to pay, time and attendance as prescribed within the agreements. 
  • Respond to payroll inquiries and investigate issues as they arise.
  • Update employee payroll records as needed (eg. Uniforms union dues etc.).
  • Process pre-payroll and post-payroll reports. 
  • As directed, collaborate with other internal business units as required including Labor Relations, Pensions, Compensation, Legal, Benefits, Finance, Accounts Payable, and Employee Travel to resolve employee issues and improve employee experience.
  • Provide guidance to internal colleagues in other departments (eg. COE and / or Time & Attendance) who produce the payroll data.
  • Process and monitor required 401k plan transactions.
  • Assist with various audits as directed.
  • Provide support to the HR team as necessary.

Qualifications

  • Payroll and HR experience required.
  • Mature self-starter with the ability to work under minimum supervision.
  • Excellent interpersonal and communication skills, oral and written.
  • Strong analytical and organizational skills.
  • Demonstrated strong customer service skills.
  • Ability to exercise judgement, confidentiality and demonstrate a high degree of tact and discretion.
  • Ability to work in a team-oriented environment.
  • Strong computer skills with the Microsoft Office suite and other software.
  • Knowledge of PeopleSoft, and ADP an asset.
  • FPC or CPP certification a asset.
