Overview

Welcome employees and visitor in a timely and professional manner, promote and maintain a professional office environment with a positive and energetic attitude. Support Facilities and assist other departments with special clerical and administrative projects.

Responsibilities
  • Ensure the front desk, lobby, and meeting spaces are clean & organized and all incoming guests and calls are responded to quickly and efficiently.
  • Greet guests and check them in through the visitor management system and issue a visitor badge.
  • Liaise with building security to process external visitors.
  • Maintain a visible presence during business hours (8:00AM – 5:00PM). Coordinate relief and breaks to maintain maximum continuity of customer service.
  • Well-versed in emergency procedures, both building and Company.
  • Follow process and procedures as per Facility Standard Operating guidelines, as well as maintain the SOP guidelines.
  • Communicate all extenuating situations that may arise to the appropriate contact(s).
  • Work independently and within prescribed schedule restrictions of position.
  • Support the Facilities Supervisor with office-related purchases and requests, help manage and keep the facility project/task database up to date.
  • Sort and scan all incoming mail & packages and track them through the delivery management system.
  • Manage the master calendar tracking important guests and events at the White Plains office.
  • Assist various departments with the planning and execution of special events. This may include ordering catering, arranging ground transportation, room setup and visitor escort.
  • Assist with outgoing shipments from various departments via FedEx and DHL
  • Assist with resolving any room scheduling conflicts.
  • Manage the distribution of special items for the office.
  • Coordinate with HR and Corporate Communications messages for digital signage throughout the office.
  • Provide coordination and coverage of the phone system with other Atlas Air offices.
  • Other duties as assigned.
Job Requirements:
Qualifications
  • High school diploma or equivalent.
  • Prior receptionist, hospitality, or hybrid workplace experience strongly preferred (2-4 years)
  • Experience working in a fast-paced environment with high visitor and call volume
  • Savvy with PC, along with Microsoft suite

  • Must be security-minded, perceptive, and aware of suspicious activity
  • Superior proven customer service skills

Salary Range: $42,000- $56,500

Financial offer within the stated range is contingent on the qualification of selected candidates
