Job Description:
Air Unlimited’s flight coordinator's position is responsible for all servicing Medivac & Charter clients. Due to requests occurring at any given time (24-hrs. day/ 7 days a week), the position requires two full time employees. Each responsible for 12-hour shifts, 6 days a week.
  
The main office staff operates daily from 9 am-5 pm coordinating “after hours” flight requests and the dispatch of these missions will fall under his position.  “On duty” would require being available to answer and accept phone requests during any given shift assigned and the coordination of those flights to include pop-up charter requests and Medivac flights (many of which will occur outside of our main office hours).  
 
The position can be performed remotely and only requires weekly meeting attendance to report activities and to interact with office support staff in person when requested to do so. However, residing in central Florida (Orlando area) is a requirement.
 
The position will offer a base salary plus a service fee for each mission coordinated.  The service fee is tied to your performance and increases proportionally as the company grows.
Job Requirements:
Medivac Dispatch
  1. Receive incoming calls for Medivac and charter requests
  2. Determine crew and aircraft availability
  3. Coordinate ground personnel for organ transport
  4. Create the mission profile
  5. Complete all tasks timely and efficiently
  6. Interact with broker, aircraft crews, FBO support personnel with proper etiquette and while using excellent customer service skills
  7. Ensure flight crews are given current and accurate information
  8. Monitor mission progress in real time and be ready to report on the status
  9. Become proficient with the use of our aviation software, online aviation websites, etc.
  10. Constant communication between broker, flight crews and management
  11. Distribute mission trip sheets for pilots and broker in a timely manner
  12. Coordination of “after hours” ground support @ FBO’s
  13. Update and communicate changes, diversions, extra legs, delays, problems encountered including AOG issues.
  14. Research fuel discounts and handle issuing fuel releases
  15. Monitor mission and pilot duty times
  16. Assess basic weather, runway lengths, flight time and trip logistics
Charter Flight Servicing  
  1. Review and service the client according to the charter terms and conditions
  2. Audit the sales agreement paperwork and assist with payment processing
  3. Monitor the flight positing to the aircraft calendar once confirmed and accepted
  4. Assist with flight crew assignments
  5. Produce and publish trip sheets for pilots and management
  6. Coordinate with FBO’s
  7. Manage all customer expectations
  8. Arrange for transportation at client ‘s destination airport.
  9. Hotel and rental car coordination for pilots if there is an overnight stay
  10. Coordinate catering for passengers
  11. Paperwork for international flights (checklist for outbounds, CBP landing rights, passenger passport information, BHS click to clear and APIS filing).
In-house Charter Sales
  1. Respond to in-house trip requests/quotes on a timely basis
  2. Build and maintain relationships with brokers and AU clients
  3. Review aircraft and crew availability prior to accepting mission
  4. Manage sales leads and assist with client servicing
  5. Create detailed reports for forecasted sales opportunities
  6. Complete tasks timely and efficiently
  7. Maintain sales comp reports and submit for processing before deadline
  8. Demonstrate ability to interact and cooperate well with others
  9. Website and computer familiarity using our in-house aviation software
  10. Perform the duties listed in Charter Flight Servicing
Salary Range: 60,000 -70,000
