HQ Aero is currently recruiting for an experienced ADMINISTRATIVE ASSISTANT in TAMARAC, FL

Job Overview:
Administrative assistant duties and responsibility include providing administrative support to ensure efficient operation of the office. You report to the Quality Assurance Director and will support managers and employees through a variety of tasks related to organization and communication. The administrative job scope includes communicating via phone and email ensuring that all administrative assistant duties are completed accurately and delivered with high quality and in a timely manner.

Responsibilities and Duties (included but not limited to)
  • Assist QA Manager as required.
  • Review work packages for billing and close-out.
  • Track work package for billing.
  • Monitor preservation log status.
  • Coordinate tooling calibration with vendor and prepare tooling for shipping prior to calibration due date.
  • Update tool calibration log.
  • Update training / on-job-training logs.
  • Update current contractor/vendor certs as required.
  • Build work packages adding non-routines per inspections requirement.
  • Update work package with revised work scopes and non-routines as requested by inspection.
  • Update archive with received work scopes, PO&39;s, and records.
  • Scan all trace packages.
  • Occasionally assist inspection with scanning work packages and creating photo reports when inspection is loaded with work.
  • Ensure inspection has all necessary office supplies.
Qualifications:
  • Must be at least 18 years of age.
  • High School Diploma/GED
  • Proven experience as an administrator or assistant experience
  • Knowledge of office management systems and procedures.
  • Must pass a comprehensive background check.
  • Must pass pre-employment drug test - We are a drug free work place!
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Proficiency in MS Office (Microsoft Excel and Microsoft Outlook in particular) and data programs (Quantum).
  • Excellent communication and interpersonal skills.
  • Working knowledge of office equipment, like printers, scanners, and fax machines.
  • Strong ethics and reliability.
  • Problem-solving & decision-making aptitude.
  • Excellent written (spelling, punctuation, sentence structure, and writing) and verbal communication skills (must collaborate with leads, managements, and support personnel on a regular basis)
  • Attention to detail and problem-solving skills.
Job Type:
  • Monday to Friday 8:00 am-5:00 pm with a 1-hour lunch from 12-1pm.
