POSITION SUMMARY:

Administrative Assistant performs a variety of basic clerical activities, prepares, controls, and records information for Purchase Request. You will be responsible for overseeing and executing the procurement process for all goods and services required by the company. You will work closely with various departments to understand their needs.

JOB RESPONSIBLITIES

  • Coordinates with Maintenance Supervisor and other employees on the development and creation of purchase requisitions.
  • Daily monitoring of purchasing reports to address purchasing and payables issues to be resolved.
  • Enter and submit purchase request to Procurement/Supervisor for a variety of purchases: first time purchases, one-time purchases, blanket orders, and reorders. Mainly indirect services.
  • Coordinates with Corporate AP to resolve all discrepancies.
  • Engages in discussions at operational levels.
  • Identifies significant trends and areas for management attention.
  • Creates and maintains documentation of policies, procedures, and work instructions.
  • Participates in continuous improvement initiatives.
  • Other duties as required by management.

ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES

Education:

  • High School Diploma

Experience:

  • Generally, 1 – 3 years of experience in area of responsibility.
  • Basic administrative experience – Purchase Request.

Knowledge, Skills & Abilities:

  • Ability to communicate effectively both orally and in writing.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where limited standardization exists.
  • Organized and detailed oriented
  • Proficient in Microsoft office

Working Conditions / Environment/ Special Requirements

  • Ability to work in a safe professional manner adhering to all regulatory requirements including, OSHA, EPA, State and Federal regulations.
