We are currently seeking an Administrative Assistant, to join our dynamic and experienced Boeing Global Enterprise Services (BGES) team in Brazil.
The candidate will provide onsite support to the Boeing operation. The Administrative Assistant supports office routines by performing various professional administrative duties, including but not limited to: receiving customers and visitors, managing office supplies and providing general customer service. This role supports administrative operations by performing duties that require knowledge of organizational systems and procedures.
 The individual coordinates with customers, management and other groups to resolve technical and administrative issues. 
Additionally, they perform data compilation, analysis, and review to support the organizational operations.  The assistant manages multiple and concurrent activities, provides guidance on project management, analyzes customer reporting requirements and evaluates system controls for regulatory compliance. Finally, they maintain working knowledge of organizational practices, budget and planning methodologies, and training audit protocols.

Key responsibilities include: 

  • Responsible for certifying that all visitors have the proper access clearances per Boeing policy & procedure.
  • Greets all guests upon arrival and provides temporary visitor badges per company policy.
  • Accepts and signs for packages as they are delivered.
  • Demonstrates excellent bilingual skills in Portuguese and English (written and oral), including strong grammar and composition
  • Accepts and signs for packages upon delivery; coordinates the shipping, receiving, and distribution of all mail and courier packages.
  • Manages incoming calls, answering and routing them appropriately while providing answers to general questions.
  • Generates the monthly Watch List Screening report.
  • Maintains a clean, organized, and professional office environment at all times, including managing meeting room availability.
  • Tracks and requests office supplies, ensuring the maintenance of general office and equipment inventory.
  • Supports the planning and logistics for executive-level events, including employee meetings, workshops, conferences, leadership events, and customer meetings.
  • Supports office-related safety and security procedures and other special projects as required by program management

This position is expected to be 100 onsite.  The selected candidate will be required to work onsite at the listed location.

Basic Qualifications (Required Skills/Experience): 

  • Must have existing rights to work in Brazil.
  • Previous experience as a receptionist or in an administrative support function.
  • Experience in customer service roles.
  • Working knowledge of Microsoft Office suite applications (Word, Excel, PowerPoint, and Outlook).
  • Proficient in both verbal and written communications skills in the English Language.
  • Strong organizational skills, time management skills, and ability to work cooperatively as a team member.
  • Demonstrate high standards and integrity to maintain confidentiality of sensitive information.

Preferred Qualifications (Desired Skills/Experience):

  • Prefer experience with expense reporting on travel and out of office costs.
  • Enjoy interacting with people and excel at creating and sustaining positive and effective working relationships at all levels both internal and external to the company.

This requisition is for a locally hired position in Brazil.  
Candidates must have current legal authorization to live and work in Brazil.  
Benefits and pay are determined at the local level and are not part of Boeing U.S. based payroll.
