We have partnered with a premier part 141 flight school and they are looking for an administrative support specialist/Dispatcher. The Dispatcher plays a mission-critical role in daily flight operations. As the central point of coordination between students, instructors, and both flight and maintenance operations, the Dispatcher ensures that each day runs smoothly and efficiently. Their consistent presence is essential. Without a Dispatcher on duty, flight schedules stall, and students lose valuable training time. In many respects, the Dispatcher becomes the single point of failure if absent, making punctuality and accountability non-negotiable. Showing up on time every day is not just preferred, it is vital to the success of our operation.
In addition to operational responsibilities, the Dispatcher is often the first person a student, visitor, or prospective customer interacts with, setting the tone for the entire experience at our flight school. They must create a welcoming, professional, and organized environment that reflects the high standards we maintain in flight training. Every interaction contributes to our reputation, and the ideal candidate understands the importance of providing exceptional service while upholding a positive and safety-focused culture from the very first impression.
Core Responsibilities:
- Report to work reliably and on time each day to ensure continuity of flight operations
- Provide professional, friendly, and proactive customer service to students, instructors, visitors, and prospective customers
- Serve as the first point of contact for phone, in-person, and digital communications
- Manage dispatch and return check in of aircraft, tracking status and updating systems accordingly
- Coordinate daily flight schedules, ensure aircraft availability and student/instructor check-ins
- Monitor aircraft maintenance status and communicate limitations or grounding to relevant parties
- Maintain flight logs, student records, and dispatch paperwork in accordance with FAA and school policies
- Support compliance with TSA requirements for student documentation
- Perform basic office duties including answering phones, filing, copying, and maintaining an organized work area
- Assist with flight cancellations, reassignments, and schedule adjustments due to weather or mechanical issues
- Communicate clearly across departments to support safety and operational effectiveness
- Use and learn IFG-specific software platforms (e.g., scheduling, student tracking, maintenance logs)
- Enforce and model safety protocols and company procedures
