JOB OVERVIEW
The Corporate Administrator is responsible for the day-to-day support and administration of a variety of company regulatory, contract, and legal programs. Reporting to the Chief Corporate Services Officer this position supports the Executive group in conjunction with the Executive Assistant.
This role includes administrative support of KF’s contractual management system; legal filings; Transport Canada, Controlled Goods, and Government of Canada Secret Clearance programs; property and aviation insurance certificates; site security support; various regulatory reporting programs; and provides vacation relief for the Executive Assistant.
This position demands high standards of confidentiality, organization, adaptability, and strong record keeping skills. There are high levels of autonomy and accountability related to representing the Company.
DUTIES & RESPONSIBILITIES
Business Development / Legal / Contract Support:
- Internal contract and corporate records administrative functions
- Administration of KF’s Contract Life Cycle Management software (Agriloft)
- Corporate filings
Insurance:
- Assist with inquiries from staff and customers with respect to coverage, certificates of insurance.
- Assist in development of renewal data and presentations.
- Compile any claims documentation required.
- Monitor customer certificates of insurance for coverage.
Support Employee Security Screening:
- Facilitate the accurate completion of the individual security screening documentation for each individual, verifying the applicant’s identity and background information, and submitting the documentation to the Government of Canada or Transport Canada for security screening or validation purposes.
- Facilitate resolution of security screening issues.
- Ensure that the appropriate government agency is notified of changes in an individual’s personal circumstances that may affect the status of the individual’s clearances
- Work directly with all departments that rely on subcontractors to verify security requirements prior to awarding contracts.
Government Of Canada Security Program Administration:
- Act as the Assistant Company Security Officer (ACSO) as per GOC requirements
- Facilitate Secret and/or Reliable clearances with staff and GOC
- Maintain the tracking database
Controlled Goods Program Administration:
- Act as the Assistant Designated Official (DO) as per the Government of Canada Requirements
- Complete new requests and coordinate approval process
- Maintain the CG issuance database and liaison with GOC to meet reporting requirements
- Periodic Inspections of the CG documentation, lockups, and practices.
Transport Canada RAIC Pass Company Administration:
- Work with staff and airport authorities to submit RAIC pass requests (new, renewal) and retrieval upon termination.
- Ensure that the organization maintains records and compliance with Transport Canada and the various airports we operate at
Site Security Program support:
- Administration of the Site Access programs, systems, and controls (access and cctv).
- Access, and review (as required) of the Video Surveillance systems.
- Liaise and coordinate with local Airport and/or Department of National Defense (DND) security officials and/or Leaseholders as required.
Executive Assistant:
Required Skills & Experience:
- Must be a Canadian Citizen and be eligible for Secret level security clearance
- Minimum Grade 12 diploma
- Post-secondary educational background in administration preferred, paralegal training would be an asset
- Minimum 5 years practical, administrative experience with contracts, insurance, or security administration
- Strong Interpersonal and relationship and team building skills
- Strong communication skills - both verbal and written
- Proven attention to detail and strong record keeping skills
SALARY
The salary range for this role is KF wage band 6, $55,500 – $69,500 annually.
The expertise and technical skill level of the candidate is assessed during the selection process for placement within the band. Note: The salary range maximum signifies full job knowledge.
