Thank you for your interest in working at Bell! This position is an individual contributor position responsible for providing administrative, Office Management, HR, HS&E, Financial, Internal and External Comms, Business Continuity Management support to Bell Textron Tokyo Office. This position supports the Country Manager and the local staff of Bell Textron Japan and acts as the office liaison for other Textron departments.
The position is based in Ebisu (Tokyo)
Job Responsibilities:
1) General office administration
Bookkeeping (expenses and invoices)
Managing travel arrangements
External and Internal Communications
Support planning, communications, and end to end logistics for conferences and exhibitions, ensuring seamless coordination of schedules, materials, vendors, and onsite activities.
Expense report management
Liaison with landlord and office facilities point of contact
HS&E planning including crisis plan liaison,
Low level purchase agreements and management,
Act as IT liaison for equipment requests
Office supply management and data management
Preparation of PowerPoint presentations and general internal communications
Translation of documentation as necessary English/Japanese/English
Coordinating Teams Meeting and virtual conferences
Meeting scheduling and control (in person and remotely)
Creating, collecting and publishing meeting minutes as required
Managing SharePoint data and content sites
Documenting Action Logs and contact databases
Identify potential areas in need of improvement and act as appropriate
Developing and maintaining the Business Continuity Plan.
2) Human Resources Support:
Provide local HR admin support and handle confidential employee data and records with discretion and support BTKK HR operations.
Coordinate monthly BTKK payroll (timesheets, annual leave records, payroll movements including new hires, resignations, promotions, merit increase, variable bonus etc.) and submit to 3rd party payroll vendor for payroll processing.
Assist in the onboarding (new hires) and offboarding (resignations) process.
Stay update to local labor law and share with HR Asia leader for further review and policy update.
Assist with HR projects such as benefits administration, policy updates, training records etc.
