Position Summary
The role of Executive Assistant supports the Director of Maintenance and the maintenance leadership team by providing high-level administrative and project coordination assistance. The role requires the incumbent to be detail oriented, proactive, and thrive in a fast-paced environment.

- Provide high-level administrative support to the Director of Maintenance and other members of the maintenance leadership.
- Coordinate and manage schedules, meetings, and travel arrangements.
- Prepare reports, presentations, and correspondence related to maintenance operations.
- Track and reconcile departmental expense reports and budgets.
- Maintain confidential files and records, including regulatory and compliance documentation.
- Assist with project management and follow-up on action items.
- Liaise with internal departments and external vendors to support maintenance activities.
- Organize and maintain filing systems for maintenance logs and technical documentation.
- Conduct research and compile data for operational and strategic planning.
- Support planning and execution of departmental events and training sessions.
- Ensure professional representation of the department in all communications.
- Maintain reliable, regular, and predictable attendance.
- Successful completion and favorable results of pre-employment drug screen and criminal history background check.
- Adhere to all Aero Air policies and standards of conduct.
- Other duties as directed.
Required Knowledge, Skills, and Abilities
- Bachelors degree or equivalent combination of education and experience.
- 2–3 years of experience in an executive or administrative assistant role (aviation or technical operations preferred)
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to interact professionally in person, by phone, and in writing
- Proven ability to manage multiple priorities and meet deadlines
- Ability to work independently in a fast-paced environment
- High level of discretion and confidentiality
- Professional demeanor when interacting with individuals at all levels
- Service-oriented with strong interpersonal skills
- Strong analytical and problem-solving abilities
- Proficiency with Microsoft Office Suite or related software
- Familiarity with aviation maintenance terminology and documentation (preferred)
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Requires the ability to stand, walk, bend, kneel, stoop, crouch, crawl and climb all day.
- Accurate hand/eye coordination.
- Finger dexterity is required as well as hand strength, with the ability to grasp, lift, push and pull.
- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
