Executive Office Administrative Assistant

POSITION DESCRIPTION

Surf Air is seeking a talented, experienced, and positive Executive Office Admin to be the face our of Dallas, TX office in Addison. You’ll play a crucial role as the first point of contact for people entering our Dallas organization, as well as support our Dallas Executive Team (CEO, President, and CAO). Our ideal candidate is a team player who can work well with the executive assistant team, is eager to provide the highest level of support to our c-suite executives and is passionate about having a clean, stocked, and organized work environment for their fellow employees.

You have experience handling multiple challenging calendars and scheduling requests. You know how to work across time zones and are experienced at booking domestic and international travel. You act with discretion when dealing with all matters. Your strong multitasking skills and ability to anticipate the needs of our executives will help you thrive within this exciting company. You are essential to keeping the office facilities running smoothly, and are passionate about travel, sustainability, and leading the aviation industry forward.

Responsibilities:

  • Work with our Los Angeles based executive assistant team to provide strategic administrative support to our executives
  • Complex calendar management and organization of multiple party conference calls
  • Book and manage complex travel accommodations, detailed itineraries, and agendas
  • Prepare and submit expense reports
  • Manage inventory and stock of food & beverage, office supplies, and equipment
  • Order lunch or meals, as needed
  • Have a general eye for detail in the office making sure it is put together and presentable. Keep plants watered
  • Draft and manage correspondence and communications on behalf of the executives, as appropriate
  • Own meeting preparation, management notes, and follow-ups, where appropriate. Track projects as needed
  • Screen incoming telephone calls, take and deliver accurate messages, and respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Act as a liaison both internally and externally. Interact with high level advisors, board members and clientele
  • Organize companywide events, holidays, and projects
  • Work with the assistant team on the development of new swag and uniform projects, as needed
  • Coordinate gifting and birthday celebrations, as needed
  • Help onboard new hires and work with HR and IT to supply access swipe cards and tech for new hires
  • Assist with other administrative tasks as needed, such as research, data entry, copying, filing, etc
  • Greet visitors, provide refreshments, alert who they are meeting, walk them back to their meeting.
  • Implement and manage conference room booking system
  • Receive, sort, and distribute incoming mail.

Qualifications & Experience:

  • You have 3+ years of experience supporting C-Suite level executives
  • You are a professional and sophisticated communicator with excellent writing skills
  • While this job is 9-5, you have a 24/7 mindset and respond quickly to priority texts and emails
  • You have excellent technical skills, and are proficient in Google Suite and Microsoft Office Suite
  • You know how to prioritize and manage multiple tasks at a time to meet deadlines
  • You are adaptable and organized when faced with competing priorities
  • You have impeccable attention to detail and a high standard of work
  • You take pride in your work, and it shows

Miscellaneous Requirements:

  • Must be able to pass a 10-year background check and pre-employment drug screen as required by airline regulations and company policies.
  • Must be at least 18 years old.
  • Must be authorized to work in the U.S. per the Immigration Act of 1968.
  • Southern Airways participates in E-Verify.
  • Fluency in English.
  • Valid driver’s license and reliable transportation.
  • Computer, office equipment, phone skills.
  • Ability to work within a 24/7 operation, including holidays.
  • Must be able to meet all physical requirements related to aircraft weight limitations before and during employment.

Work Environment:

  • Full-time position, with some on-call or irregular hours as needed to accommodate operational demands.
  • This position may require occasional weekend or evening work to support the 24/7 nature of airline operations.
  • Must be able to work nights, weekends, and holidays as required.
