- Liaise with telco company on corporate mobile phones purchase and contract, in charge of issuance,
renewal and collection/return of corporate mobile phones
- Liaise with company bus transport vendor on payment, issues, and negotiation of rates with HR
consultation
- In charge of company staff passes, room/ cubicle tags, issuance of uniforms, name tags, personal
protective equipment including safety glasses, safety boots and employees’ lockers
- In charge of company facilities including liaise with GASCA on canteen vendor matters, maintenance
of the office, workstations, meeting rooms, and pantry.
- Ensure sufficient supply of stationery, office consumables including pantry and toilet
- Company mail collection and distribution at collection point
- Corporate travel administration for repatriated employees/ GM
- Work with recreation club committee to support Company events
- Support the visitor clearances of specific groups of employees
- Ordering of awards/ plaques/ company gifts including supplier negotiation
- Work with facilities on balloting exercise for company carpark lots
- Work with EHS on coordination of industrial medical screenings and annual prescriptive safety glasses
exercise
- Assist HR on new hire matters ie new hire pack preparation, name card printing
- Responsible for general site and employee administration with rights in DFM to validate associated
invoices related to monthly company Union membership fee, working pants and camaraderie claims
- Any other matters as requested by GM.
Systems Administration
- Main liaison for Autotime queries with US Autotime team in event of operational exigencies including
changes in shift/ public holidays/ work timings
- Administration of Autotime data conversion by saving the daily clocking file to Autotime folder
- Administration of HRIQ to ensure that records are accurate and records for time and attendance are
updated by Operations accordingly
