Summary: An exciting opportunity is available within NAVBLUE France, a 100 Airbus company. The Personal Assistant and Office Administrator to the CEO will support the CEO in his day-to-day activities and will also support the Leadership team. 

Main Responsibilities: 

  • Provides full administrative support to the CEO and some administrative support to the Leadership team. 

  • Maintains CEO&39;s agenda/calendar. 

  • Coordinates Travel & Expenses for the CEO.

  • Provides professional customer service to all internal and external customers.

  • “Meet and Greet” visitors/customers (internal & external) on-site.  

  • Directs any incoming enquiries (phone/email) to the relevant department/person.

  • Maintains strict confidentiality of sensitive material/information at all times.

  • Be the focal point for the Blagnac office i.e.  collection & distribution of incoming mail, manage access requests for new arrivals and visitors, maintain stationery and office supplies (includes ordering) 

  • Be proactive in organizing on-site events to promote cohesion between employees (Nav Social initiatives) in coordination with the Managing Director.

  • Coordinate lunches/events that require catering.

  • Support HR with newcomers.

Qualified Experience/Skills/Training:   

Education:

  • Completion of relevant diploma/degree program.

Experience: 

  • Minimum 5 years administrative experience (preferably at PA level).

Knowledge, Skills, Demonstrated Capabilities & Competencies:

  • Possess professional, friendly and customer-focused personality.

  • Ideally previous customer exposure.

  • Proactive, confident self-starter.

  • Strong time management and organizational skills

  • Able to work independently with little supervision.

  • Tactful and discrete in dealing with sensitive and confidential matters

  • Effective interpersonal skills; adaptable to all levels of the organization

  • Experience in coordinating travel.

Communication Skills (Spoken, Written, Influencing, Proficiency in Other Languages):

  • Excellent communication skills (both written & verbal) in English

  • French language at negotiation level is a must


 

Technical Systems Proficiency

  • Advanced MS Office knowledge of Word, Excel, Power Point and GMail Suite. 

  • Travel Tool (KDS)

  • Expenses Tool

  • Procurement/PO system to generate Purchase Orders (Click’nBuy)

  • Security/Visitors Tool (uVisit) i.e. managing visitors badges and the process of visitors coming on-site and Security.

  • FM Systems/Facility Management

NB: Training is provided for all in-house systems/tools (KDS, Click’nBuy, myFM etc.)
