  • American Airlines Cargo is seeking an enthusiastic and detail-oriented individual to join our dynamic team who will cultivate strong relationships across AA Cargo, enterprise business units and external stakeholders.   • Reporting to the Head of Cargo Sales, you will be responsible for planning, coordinating, budgeting, and executing a diverse range of event activities and be accountable for promotional assets acquisition and distribution.   • The role is a part of the Cargo Events and Promotions team within the Cargo group.
What youll do

  • Event Planning: Collaborate with the Cargo leadership team to plan and execute various events, including, internal / external conferences, product launches, employee recognition and promotional gatherings.
  • Logistics Management: Coordinate all event logistics, including venue selection, catering, transportation booking, accommodations, branding and equipment rentals. Shipping of promotional materials when required.
  • External Customer Engagement: Ability to confidently and effectively communicate with C-Suite executives and assistants to liaise event details and logistics planning.
  • Vendor and Supplier Coordination: Liaise with external vendors and suppliers, and ensuring service align with outlined requirements.
  • Negotiation Skills: Experience in negotiating contracts and agreements with vendors and suppliers.
  • On-site Management: Oversee event setup, manage staff, and ensure smooth operations during the event, addressing any issues promptly.
  • Post-Event Evaluation: Conduct post-event evaluations, gather feedback, and generate reports to assess the success of events and identify areas for improvement.
  • Budget Management: Highly proficient in budget planning and management. Create and manage event and annual promotional budgets - tracking expenses and ensuring cost-effectiveness while delivering high-quality experiences.
  • Media Buying: Liaise, negotiate, and purchase promotional materials while maintaining financial disciple and effective invoice management (Coupa).
  • Marketing Collaboration: Work closely with the marketing team to develop promotional materials and strategies to maximize event attendance and engagement within Brand guidelines.
  • Sales Collateral: engagement with the global sales organization to create, manage, and distribute required collateral, including presentations & flyers for respective teams/geographies.
  • Organizational Skills: Strong organizational abilities to manage multiple tasks and details efficiently.
  • Creativity: Ability to brainstorm and implement innovative event concepts aligned with American’s brand.
  • Communication: Excellent verbal and written communication skills for effective collaboration with internal teams, vendors, and attendees.
  • Problem-Solving: Quick problem-solving skills and the ability to adapt to change.
  • Flexibility: Willingness to work irregular hours, including evenings and weekends, as required by schedules.

Minimum Qualifications- Education & Prior Job Experience

  • Bachelors degree in Event Management, Sponsorships, Activations, Marketing, or equivalent training/experience
  • 3+ years of event planning or relevant experience
  • Ability to travel frequently. 

Preferred Qualifications- Education & Prior Job Experience

  • Proficient Microsoft Suite including Power Point, Excel, Adobe

Skills, Licenses & Certifications

  • Proven experience in event planning and coordination, preferably in a fast-paced environment.
  • Strong interpersonal skills and the ability to build and maintain relationships with diverse stakeholders.
  • Ability to work under fast-paced conditions. 
  • Ability to make decisions and use good judgment, prioritize various duties and multitask as required.
  • Strong ability to work with other departments on projects towards a common goal. 
  • Outstanding written, verbal, presentation, and interpersonal communication skills. 
  • High energy and self-motivation. Initiative, persistence, determination, and drive.
