Job Description:

As the Senior Executive Assistant to the CEO, you will be a pivotal supporting member of the leadership team, providing strategic support to ensure the seamless operation of the organization. Your responsibilities will encompass managing the CEOs schedule, coordinating communications and meetings, handling confidential information, and driving initiatives to enhance organizational efficiency and effectiveness.


Essential Functions:

  • Strategically manage the CEOs schedule, including prioritizing meetings, conferences, and travel arrangements to align with corporate objectives.
  • Act as a liaison for CEO communications, handling phone calls, emails, and interactions with partners, and contributing to monthly Board meetings with insightful reports and presentations.
  • Provide guidance and oversight to a team of Executive Assistants and Office Administrators, fostering a culture of excellence, collaboration, and professional development.
  • Oversee budget administration, financial statement preparation, and analysis to support decision-making processes and identify cost-saving opportunities.
  • Develop and maintain company policies and documents, ensuring compliance and an organized filing system.
  • Collaborate cross-functionally to streamline administrative procedures, improve departmental systems, and enhance overall operational efficiency.
  • Organize and coordinate corporate events, always maintaining a high level of professionalism and confidentiality.
  • Conduct research, prepare documents for review and presentation, and coordinate facility management matters.
  • Regular and reliable attendance on a full-time basis [or per posted schedule].
  • Responsible for exhibiting professional behavior with both internal and external business associates that reflects positively on the company and is consistent with the companys policies and practices.
  • Embodies AEVEXs cultural values and aligns daily actions with department goals and company culture.

Qualifications:

  • Proficient in using modern productivity tools and software, including MS Office Suite, project management platforms, and conferencing tools like Microsoft Teams and Zoom.
  • Strong analytical skills with the ability to perform financial analysis, create reports, and identify operational efficiencies.
  • Excellent communication, collaboration, and leadership skills, with a proven track record of mentoring and developing teams.
  • Ability to adapt to changing priorities, take initiative, and drive process improvements.
  • Uphold confidentiality, professionalism, and integrity in all interactions and tasks.
  • Bachelors degree in business administration or related field
  • Certified Paralegal – CLA

Experience:

  • Minimum of 10+ years experience directly supporting senior management.
  • Extensive experience in scheduling travel arrangements, calendar management, and task prioritization
  • Prior experience working in a legal environment, supporting legal executives or attorneys.
  • Familiarity with legal terminology, document preparation, and legal research methodologies

Physical Requirements:

  • Constantly required to sit, and to reach to use computers and other office equipment.
  • Constantly required repetitive movements of wrists, hands, and/or fingers.
  • Occasionally required to stand for extended periods.
  • Occasionally required to lift up to 25 pounds.
  • Occasionally required to reach overhead and frequently reach at/below shoulder level.
  • Occasionally required to operate a motor vehicle.
