Job Summary
The Finance Shared Services Knowledge & Training Analyst or Senior Analyst role is part of Swissport Business Services in Casablanca, Morocco. The role is responsible for enhancing the Finance knowledge management and training agenda across different Shared Services teams. The scope of the role covers knowledge capture & mgmt., knowledge exchange, training and development, monitoring and analytics.
Job Responsibilities
Knowledge Capture, Management & Documentation:
- Design, implement, and maintain a centralized knowledge repository for policies, processes, best practices, work instructions, and supporting documentation, ensuring frequent updates for current and accessible content.
- Define and enforce documentation standards to ensure consistency, clarity, and compliance across teams, with regular audits and reviews.
- Conduct periodic, data-driven assessments to identify gaps in knowledge capture, management, and documentation, and execute targeted improvement initiatives.
- Leverage analytics to monitor document access, update frequency, and user engagement, using insights to optimize documentation practices continuously.
- Research and integrate industry best practices from the Shared Services sector to enhance the organization’s knowledge management framework on an ongoing basis.
Knowledge Exchange:
- Promote a culture of knowledge sharing and collaboration through regular sessions, team huddles, and cross-departmental meetings.
- Partner with shared services teams to align knowledge initiatives and establish Subject Matter Expert (SME) groups that facilitate day-to-day problem solving.
- Utilize participation metrics and feedback from knowledge sharing activities to refine and enhance collaborative efforts.
Training & Development:
- Develop and implement a structured training and development framework that addresses immediate operational needs and skill gaps.
- Oversee and refine the onboarding process for new hires by coordinating with team leads and using performance data to tailor training for swift integration.
- Foster a culture of continuous learning by providing access to relevant training resources, development programs, and upskilling opportunities supported by data insights.
- Monitor and analyze training effectiveness using pre- and post-training assessments, participant feedback, and KPIs, making data-driven adjustments to improve learning outcomes.
Performance Monitoring, Knowledge & Training Analytics:
- Develop and track key performance indicators (KPIs) to measure the success of knowledge management and training initiatives.
- Generate regular reports on repository usage, document effectiveness, and training participation, using data to quickly identify operational issues and improvement areas.
- Utilize analytics to pinpoint individual and team knowledge gaps, proposing targeted, data-driven training and development initiatives to address them.
Qualifications
- University Degree in Finance, Business Administration, Human Resources, Knowledge Management, Training & Development, or a related field.
- Experience in knowledge management, training & development, or process documentation within Shared Services, Finance, or similar environments.
- Experience in BPO/Shared Services and Finance processes.
- Proficiency in digital collaboration tools (e.g., SharePoint, Microsoft Teams).
- Background in project management and driving process improvement initiatives.
- Strong analytical skills, leveraging data insights for decision-making.
- Agility in learning, challenging the status quo, and seeking innovative solutions.
- Ability to influence and collaborate with stakeholders at all levels.
- Hands-on, results-driven, with a can-do attitude and ability to work with limited resources.
- Excellent communication skills, able to articulate ideas clearly across a complex organization.
