Procurement Specialist

Job Description:

Summary:

The Procurement Specialist is responsible for the timely, cost-effective sourcing of aircraft parts, materials, and supplies to support maintenance, repair, and overhaul (MRO) operations in compliance with FAA regulatory standards. This role is critical to achieving work order profitability, minimizing aircraft downtime, and ensuring the accuracy and efficiency of all procurement-related activities.

Key Responsibilities:

Source and procure aircraft parts and materials from approved vendors to support MRO operations.

Place purchase orders promptly based on parts order sheet submissions.

Ensure timely follow-up on order confirmations, delivery schedules, and backorder resolutions.

Negotiate with vendors to secure competitive pricing, favorable terms, and timely delivery.

Escalate pricing discrepancies, shortages, or delays in accordance with escalation protocols.

Coordinate with vendors and internal teams to manage warranty claims and core returns.

Maintain accurate records of all purchases, receipts, and supplier communications in the ERP/MRO system.

Support inventory management and stocking levels through min/max evaluation, ordering, and communication of expected deliveries and potential shortages.

Assist with tracking supplier performance and contribute to continuous improvement of the vendor base.

Help achieve and maintain minimum parts margin thresholds on each work order.

Qualifications:

1–2 years of purchasing, procurement, or supply chain experience (aviation or MRO environment preferred).

Working knowledge of FAA Part 135/145 regulations is a plus.

Excellent negotiation and communication skills with attention to detail.

Solid math and arithmetic skills for pricing, margins, and inventory accuracy.

Proficiency in Microsoft Office and ERP/MRO systems.

Ability to work well under pressure and meet critical deadlines

Effective collaboration with cross-functional teams including maintenance, shipping/receiving, and finance.
