Job Description:

Purpose of Position
Monitor and manage relevant workflow to ensure all service provisions for customers (Owner catering and ground transport) and crew members (crew food and stock requests) are accurately and timely coordinated in compliance with Company procedures, Owners requests/preferences and third-party vendors deadlines, through assistance to Owner Services, thereby guaranteeing the customer is provided with the highest quality service. Assist with any system related issues (IJET/ETM). Place, change and confirm crew food orders.

Tasks and Responsibilities
  • Catering and Owner Ground Transport
    • Manage Catering and Owner Ground Transport feedback through all methods received (Owner feedback, crew reports, OS teams, Tactical and Flight Specific Survey), not limited to Case Managements, with the appropriate follow up and communicate this follow up to relevant parties as necessary;
    • Perform Quality Checks on Catering and Owner Ground Transport orders to ensure compliance with system requirements, NetJets standards and vendor needs;
    • Owner Catering: provide daily operational support to Owner Services, through ordering/confirmation recommendations and/or assistance, updating IJet and vendor support, and completing required follow up to ensure such confirmations;
    • Owner Ground Transport: handle all confirmation processes related to Owner Ground Transport, in particular rental requests, as well as checking requirements and completing any quote requests;
    • Coordinate and liaise with Catering & Standards Executive Chef to ensure appropriate follow up is handled regarding any compliance issue regarding food safety;
      Crew Food Management
    • Ensure the processing, confirmation, delivery and compliance of crew food orders.Complete follow up as necessary for any deviations;
  • Vendor Management
    • Follow up on feedback received from crew: potential new vendors, complaints, stock requests and communicate this follow up to relevant parties as necessary;
    • Liaise with the third-party vendors concerning daily operations, performance monitoring and resolution of issues to ensure compliance with NetJets standards and a high level of service;
    • Actively search and make appropriate recommendations to the Management team regarding potential new vendors;
    • Monitor Crossroads system and provide assistance to participating vendors when necessary (which may include onboarding, password changes, sync ups);
  • Provide recommendations and suggestions regarding the departmental procedures, so that their efficiency can be optimized, while seeking opportunities for automation;
  • Coordinate closely with representatives from other departments (e.g. Onsite Experience Team, Five Senses Team, Fleet Program Managers, Sales and Marketing) to provide all the information that can influence their activity and guarantee that the Logistics Support and Owner Services teams receive all the necessary information to optimize the customer service;
  • Owner Individual and Account level profiles: present suggestions and recommendations to Owner Services for the most appropriate and correct profile entries, in accordance with their needs;
  • Provide on-going training support to Owner Services, through all mediums (telephone, email, 1-2-1) as required;
  • Observe and note the use of CMIC entries by Owner Services and provide recommendations for correct usage and/or new entries;
  • Coordinate and assist in planning events in order to ensure sufficient supply of the services required;
  • Perform onsite duties as deemed necessary in coordination with Customer Relations.

  • Knowledge of food industry (food preparation, storage, packing, delivery, etc.);
  • Knowledge of vehicle types, their relative size and passenger capacity;
  • Fluent written and spoken English (additional languages are plus);
  • Proficiency in MS Office.
