The selected candidate will report to the Manager Line Maintenance KIN. The incumbent will demonstrate skills to perform tasks competently using the MS Office Suite and other software. The suitable candidate must be confidential and professional, exhibit excellent verbal and written communication skills, and be very organised and focused on accomplishing the Department’s Objectives.
This is a fixed-term (contract) position.
KEY RESPONSIBILITIES:
- Ensures that all correspondence and written material, etc. are prepared in a timely and appropriate manner for review and distribution to meet established deadlines.
- Maintains all files (electronic and hardcopy). Responds to all requests and ensures these are directed to relevant team members.
- Reconciles, processes, and submits Invoices for approval in keeping with approved policies and procedures.
- Processes, tracks, and monitors vendor invoices in SAP.
- Ensures compliance with policy and procedures that govern procurement, including the preparation and organization of all required documentation.
- Assists with preparing and monitoring the Department’s Budget.
- Coordinates employee related matters for the Team including the scheduling of ground transportation, duty travel requirements, etc.
- Maintains leave records, including vacation leave requests and approvals and submits monthly leave liability reports to Human Resources.
- Prepares and submits approved payroll related reports to Human Resources in keeping with established deadlines.
- Maintains departmental stocks and supplies.
- Coordinates meetings as directed, records and prepares minutes, and monitors completion and implementation of decisions and actions items.
PERSON SPECIFICATION:
You must have a minimum of five (5) CXC/GCE Ordinary Level passes, including Mathematics and English, with a minimum of three (3) years of experience in a similar role. A diploma in Administrative Professional Office Management obtained from an accredited institution would be an asset. You must demonstrate strong proficiency in MS Office Suite, particularly MS Word, MS Excel, and MS Outlook. Proficiency in the use of SAP would also be an asset.
You must be able to work in a fast-paced, deadline-driven environment. You must have excellent verbal and written communication skills and possess the ability to exercise judgment and initiative with maturity and professionalism. You will have excellent organisational skills with the ability to set priorities, manage multiple projects, and meet deadlines.
