What you can expect as a Customer Coordinator at West Star:
The Customer Coordinator serves as a dedicated point of contact for customers throughout their entire service experience, from pre-arrival to post-delivery. The position ensures a seamless, personalized, and proactive customer journey, reinforcing a commitment to exceptional service and communication. Working closely with the Project Management Team and cross-functional teams, the Customer Coordinator anticipates customer needs, coordinates key touchpoints, and drives consistency and excellence in every interaction.

You will be ESSENTIAL to many FUNCTIONS including:
•Customer Experience Ownership: Serve as a liaison for customers throughout their service visit, ensuring all interactions are aligned with our company’s customer service standards.
•Customer Touchpoints & Service Support: Support Project Managers, who serve as the primary point of contact, in delivering a high-quality service experience at key milestones (arrival, work updates, delivery, post-service follow-up) and throughout the full service lifecycle.
•Arrival Coordination: Assist with pre-arrival and day-of-arrival logistics to ensure all service details are clearly confirmed/communicated and distribute weekly updates identifying in-house customers to promote facility-wide awareness.
•Post-Service Follow-Up: Conduct post-service outreach as needed and in coordination with key stakeholders, engaging customers who provide feedback and initiating personalized follow-up with those who do not, to ensure satisfaction and drive continuous improvement.
•Elevated Experience Oversight: Manage and maintain customer lounge and office spaces, and support the planning and execution of swag, welcome gifts, appreciation gestures, and personalized service efforts in alignment with the company’s service objectives covering amenities, on-site visits, events, and customer spaces.
•Customer Profile Management: Maintain and update customer profiles to track preferences, needs, and engagement details to support personalized service and consistent customer experiences.
•Customer Service Resolution: Act as a support to the Project Management Team regarding service concerns, coordinating with internal resources to ensure timely and effective resolution.
•Brand Representation: Serve as a visible ambassador of the company’s values, culture, and commitment to service excellence in every interaction.
•Process Support: Contribute to refining and standardizing customer experience processes across locations.
•Collaboration: Work closely with the Project Management Team and cross functional teams to maintain seamless customer experience and communication.

What you’ll need to bring with you:

Your Education:
A High school diploma or equivalent.
College education or degree beneficial.
Customer service training beneficial.
Valid driver’s license approved for airline travel and/or a valid passport is ideal, but not mandatory.

Your Experience:
3+ years of experience in customer service, client relations, hospitality, or related field (aviation or tech service environment preferred).
Strong interpersonal and communication skills, both verbal and written.
Proficiency with CRM systems (preferred) and Microsoft Office Suite (required).
Ability to work in a fast-paced environment with strong organizational and time-management skills.
High level of professionalism and discretion in handling sensitive customer information.

Physical Requirements

Lift and carry up to 20 lbs.

Work with others in a professional manner.
Extensive customer contact skills.

Supervision
Work with minimal supervision.
Work with project managers coordinating high-end customer service in a cooperative manner.

Working Conditions
The majority of work will be accomplished in an office environment.
Will also work in a hangar environment which can include varied temperatures from very hot to very cold.

Compensation & Benefit Information

The following information is disclosed according to state specific requirements. If the position applied to is not in a state with these requirements, the following information may not apply. The salary range for this position generally ranges between $50,000 - $70,000. Actual rate will vary and may be above or below the range based on various factors including but not limited to location, experience and performance. The range listed is just one component of the total compensation package. Other forms of compensation include a semi-annual discretionary bonus, as well as medical, dental, vision, life, disability, 401(k), paid holidays and vacation time.
