POSITION PURPOSE:
The Maintenance Operations Coordinator is responsible for tracking, recording, and reporting AMT mechanic labor hours across multiple locations and entities. This role serves as the central point of contact for mechanic time and attendance data, overtime monitoring, and hours reporting to support both operational and HR decision-making across ISO.
RESPONSIBILITIES/DUTIES:
- Collect, enter, and maintain accurate daily and weekly mechanic labor hours across all applicable locations and departments, as assigned.
- Monitor scheduled vs. actual hours worked and flag variances, overtime trends, and budget concerns to management on a timely basis.
- Reconcile mechanic time records in ADP Workforce Now against work orders, shift schedules, and supervisor approvals.
- Prepare weekly and monthly labor hours reports by location and department for review by Maintenance and HR leadership.
- Track overtime hours by individual and location; distribute reports to applicable directors and managers.
- Coordinate training schedules as needed for shift efficiency. Manager vacation, sick leave and other items that affect the day-to-day operations.
- Assist with employee engagement and employee retention programs as assigned.
- Coordinate with supervisors, inspectors, and lead mechanics to ensure timely and accurate time submission.
- Assist in identifying scheduling gaps or coverage concerns based on hours data trends.
- Maintain organized records of all hours data in accordance with company retention policies.
- Support HR and Maintenance with data pulls for audits, DOT/FAA compliance reporting, budgeting, and workforce planning.
- Communicate proactively with HR when hours data indicates potential FMLA, ADA, or policy concerns.
- Monitors Company Cars / Permits / Tags / Uniforms.
- Assist with company badges, security and station access/set up.
- Reviews and approves invoices as needed.
- Provide research assistance and auditing services for specified internal departments.
- Assist in ordering office supplies for ISO as required.
- Promotes safety throughout the organization as mandated through Company policies identified by executive management.
- Perform other duties as assigned.
SPECIAL POSITION REQUIREMENTS:
- Must be able to handle confidential employee data with discretion and professionalism.
- Occasional travel to maintenance stations or company locations may be required.
SUPERVISORY RESPONSIBILITY
- This position has no direct supervisory responsibilities.
TRAINING REQUIREMENTS:
- New employee orientation and onboarding per company policy.
- ADP Workforce Now system training as required.
- Additional training as identified by management.
WORKING CONDITIONS AND PHYSICAL EFFORT:
Work typically performed in an office environment. This is primarily a sedentary role requiring prolonged periods of computer use. The employee must be able to communicate effectively in person, via phone and email. Occasional travel to maintenance stations or company locations may be required.
Work typically performed in a line, hangar and office environment which will involve exposure to noise, chemicals, adverse temperatures, and other similar hazards. Must be able to lift 75 lbs.
