Job Description:
M1 Support Services’ Business Manager Assistant will support financial, procurement, and administrative functions in a fast-paced aerospace maintenance environment. This position reports directly to the Business Manager and collaborates closely with accounting, procurement, and operational teams.
Primary responsibilities include but are not limited to the following:
Accounts Payable & Vendor Management:

• Prepare accounts payable invoice packages with proper documentation (approved invoice, PO, receiving documentation, etc.) for system entry.
• Maintain organized and up-to-date AP files to ensure an accurate audit trail.
• Ensure timely and accurate image of vendor invoice packages weekly.
• Collaborate with Home Office AP staff to ensure prompt invoice processing.
• Research vendor inquiries and provide payment status updates.
• Resolve account coding issues and approval discrepancies with operations and procurement teams. Purchasing & Inventory Support:

• Monitor open purchase orders and follow up with vendors or procurement to close commitments. Travel & Expense Management:

• Record receipt of delivered goods into the accounting system.
• Assist in monthly closeout processes, including preparation of revenue and cost accruals.
• Support customer invoice preparation, entry into Wide Area Workflow (WAWF), and follow- up for collections on billed accounts receivable.
• Contribute to Rough Order of Magnitude (ROM) proposal preparation.
• Provide documentation and assistance during internal and external audits.
Additional Duties:

• Perform other duties and special projects assigned by the Business Manager
Qualifications and Experience:
Education:

• High School Diploma or equivalent is required. o Bachelor’s degree in accounting, Finance, Business Administration, or a related field is preferred. Experience:

• Minimum of one (1) year of related experience and/or training required. Skills:

• Strong interpersonal skills and ability to work with a variety of teams.
• Highly reliable, self-motivated, and capable of managing multiple deadlines.
• Strong organizational and time-management skills.
• Fluent in English (reading, writing, speaking, and comprehension).
Working Conditions:

• Work is primarily performed in a professional office setting within an aircraft maintenance facility.
• Regular use of standard office equipment such as computers, phones, printers, and filing cabinets.
• May require walking to and from various departments or warehouse areas to coordinate deliveries, purchases, or receive shipments.
• Occasional lifting of office supplies, packages, or documentation materials up to 25 pounds.
• Must be able to sit and work at a computer for extended periods of time.
• May be exposed to aircraft hangar environments when coordinating with operations or procurement personnel.
• Normal work schedule is Monday through Friday; may occasionally require extended hours to meet critical deadlines or during month-end close activities.
