JOB OVERVIEW

The ATO Training Coordinator will oversee the operational training and administrative requirements for the KF Approved Training Organization (ATO) at all KF bases.

 

This is an advanced administrative role.  The role is primarily responsible for planning, scheduling and administration of all ATO or training services activities. Follow-on activities related to training scheduling, training record management via the Pelesys learning management system (LMS), and other applications.

The ATO delivery schedule is predicated on training requests, training expirations and customer driven needs.

 

This position reports to the Training Services Manager (Kelowna base) and is responsible to ATO Supervisor. 

 

REQUIREMENTS 

 

SPECIFIC ACCOUNTABILITY

ATO and AMO team admin support

  • Coordinate instructors, participants, training calendar, classrooms, and resources.
  • Manage data and training records requests.

Course scheduling 

  • Schedule classroom, or off-site training venues where required.
  • Work as part of the training team to identify and arrange training program delivery locally.

 

Course materials management

  • Arrange and/or update materials as required.

 

Administrative support 

  • Support the Training Services Group, which includes ATO and AMO, as part of the day-to-day operations.
  • Schedule sessions for all areas based on local requirements, expirations, crew availability.
  • Entry of training completions and training documentation via the Pelesys LMS for all personnel.

 

Technology support

  • Responsible for setup / maintenance of classroom laptops, digital course materials, and user troubleshooting.

REQUIRED CERTIFICATION, EDUCATION and EXPERIENCE

  • Grade 12 diploma
  • Highly proficient with MS Office tools (Word, Excel, PowerPoint, TEAMS) and classroom and digital technology
  • Adobe Pro or experience working with similar applications.

 

REQUIRED SKILLS

  • Planning and organizational skills.
  • Excellent customer service skills.
  • Demonstrated strong knowledge of classroom and digital technology. 
  • Strong analytical and problem-solving skills.
  • Strong interpersonal & communication skills (written and verbal) including conflict resolution skills.
  • Ability to understand and communicate concepts quickly and accurately.  
  • Strong writing, editing and proofreading skills.
  • Ability to prioritize, schedule and meet deadlines.
  • Able to adjust work and schedule to meet operational demands. 
  • Ability to work both independently and within a team environment.

 

The incumbent will understand the documentation and overall processes involved in maintaining the Transport Canada approval as per the ATO PM, including:  

  1. Documentation associated with maintaining course integrity.
  2. Completion of certificates.
  3. Post-course review with ATO Supervisor and instructors.

 

HOURS OF WORK AND LOCATION

  • Monday-Friday, 8am-4:30 pm with flexibility required for support of non-office hours class times (occasional evenings and weekends). This role is on-site in Kelowna with some travel possible.
