Duties and Responsibilities/Essential Functions

  • Handles incoming calls, screens and transfers calls or recorded messages as appropriate. Communicates with callers in a professional, friendly and efficient manner, striving to minimize the amount of time spent on hold.
  • Greets and ensures all guests/visitors are checked in with proper identification, visitor badges and are escorted by employees beyond the lobby area.
  • Schedules plant tours in conjunction with appropriate Cirrus team members. Conducts general public facility tours on weekly basis.
  • Works cross-functionally with other departments to support company events
  • Coordinates employee and visitor badges to include printing and assigning appropriate role access
  • Prepares for customer visits by assigning training rooms, creating name badges, and posting welcome messages on lobby messaging boards.
  • Coordinates travel arrangements for visitors/customers as approved and requested.
  • Familiar with partnerships with area hotels and develops a strong knowledge of the hotels facilities and area services.
  • Provides guests with information about area attractions, facilities, and services.
  • Handles guest complaints in a professional manner and routes as appropriate to solve concerns to the highest degree possible.
  • Sorts and distributes mail and signs for packages.
  • Effectively handles multiple priorities, organizes workload and meets deadlines.
  • Maintains, organizes, and stocks supplies for front reception area, customer lounge, training rooms and customer restroom.
  • Supports Administrative duties including:
    • Order/manage supplies in public areas/conference rooms
    • Make travel arrangements
    • Order lunches
    • Arrange conference calls or coordinate meetings
    • Manage tour calendars
    • Create professional written communication, presentations, reports, spreadsheets, charts and graphs as needed.
  • Regular, reliable, and predictable attendance.

Qualifications

  • High school diploma or equivalent
  • Two to four years related concierge/reception or administrative experience working in a corporate environment
  • Hospitality experience preferred
  • Experience in Administrative level position preferred

  • Must be able to demonstrate the ability to read, write and speak the English language.
  • Excellent written and oral communication skills.
  • Clear and professional customer services skills.
  • Ability to ensure that security standards and policies are met.
