PURPOSEThe People Operations Consultant provides end-to-end operational support across the Employee Life Cycle, acting as a trusted local point of contact for employees and People Country Managers (PCM). This role ensures accurate, compliant, and timely People Operations service delivery for a region (Romania and South Europe), supporting business continuity and the growth of the Cluj location.
KEY RESPONSIBILITIESEmployee Life Cycle ManagementSupport pre-onboarding and onboarding activities, including preparation of offer letters, employment contracts, reference checks, and coordination of immigration documentation where applicable.
Administer employee benefits, responding to standard employee enquiries and ensuring benefit providers are informed of employee changes (new hires, leavers, salary changes, family status updates).
Manage probation period follow-ups, ensuring processes are completed on time and escalating risks or concerns where required.
Administer all offboarding activities, ensuring accurate documentation and system updates.
Prepare standard employee correspondence related to reward activities, including salary changes, bonuses, promotions, internal transfers, and contractual updates.
Administer standard employee absence processes, including holidays and statutory absences (maternity, paternity, parental leave, short-term sickness).
Coordinate and administer employee recognition programs, such as long-service and Bravo awards.
Act as a first point of contact for everyday HR Operations enquiries from internal and external customers, providing timely, clear, and solution-oriented responses.
Governance, Compliance & Data ManagementMaintain accurate and up-to-date employee records in PeopleCentral (Oracle HRCM), ensuring data quality and compliance with internal policies.
Produce standard reports and management information from PeopleCentral as required.
Prepare documentation, data, and supporting materials for internal and external audits.
Follow company purchasing and ordering procedures, including processing purchase orders, invoices, and resolving cost centre-related queries.
Local Site Support & Office EngagementAct as a visible HR Operations presence in the Cluj office, working on site at least 3 days per week in line with the hybrid working policy.
Partner with local HR, Office Management, and key stakeholders to support a positive employee experience.
Actively participate in office engagement initiatives, team events, and cross-functional activities.
Encourage collaboration, connection, and awareness of HR Operations processes at site level.
Operational Excellence & Continuous ImprovementSupport the consistent application of HR Operations processes and policies across the site.
Identify opportunities for process improvement and contribute to documentation updates and knowledge sharing.
Support internal communications related to HR Operations activities, policies, and standard processes as required.
Qualifications
WHO YOU ARE:- Minimum of 3 yearsโ experience in HR administration, ideally gained within a fast-paced, international environment.
- Hands-on experience with HR Information Management Systems (HRIM), preferably Oracle People Central HRCM.
- Solid understanding of the employee lifecycle, including HR data management and related processes.
- Strong attention to detail with the ability to manage multiple priorities effectively.
- Customer-focused approach, supported by excellent communication and interpersonal skills.
- Comfortable working in a dynamic, rapidly evolving environment.
Collaborative, with the ability to work effectively as part of a team as well as independently.
Demonstrates a strong sense of urgency with the ability to meet deadlines consistently.
- Fluency in English is required.
- Higher education qualification required.
NICE TO HAVE:
- Membership in a professional HR association is considered an advantage.
- Currently pursuing, or willing to pursue, an entry-level professional qualification from a recognised HR body or organisation is desirable.
