People Project Coordinator

Your role

We are seeking a detail-oriented and proactive People Project Coordinator to join our People transformation team. The Project Coordinator will play a crucial role in supporting the execution of various projects and initiatives within the organisation. As Project Coordinator, you will be responsible for coordinating project activities, tracking progress, and ensuring that project deliverables are completed on time and within scope.

The People team is undertaking a 3 year transformation programme with over 30 projects planned or in flight spanning all areas of the candidate and employee lifecyle, including onboarding, recognition, HR technology, and service delivery. The ideal candidate for this role will have excellent organisational skills, strong attention to detail, and the ability to work effectively with ambiguity. 

The People Project Coordinator should have experience in the following areas:

  • Coordinate project activities and tasks to ensure timely execution and delivery.
  • Collaborate with the Transformation team and other stakeholders to define project objectives, deliverables, and success criteria.
  • Track project milestones, deliverables, and deadlines, and provide regular updates to project stakeholders.
  • Assist in the development and maintenance of project documentation, including project charters, schedules, and resource plans. 
  • Organise and facilitate project activities, including scheduling meeting, coordinating stakeholders preparing agendas, documenting minutes, and following up on action items.
  • Support stakeholder communication and engagement efforts, including drafting communications materials and coordinating distribution.
  • Assist in the identification and mitigation of project risks and issues. 
  • Collaborate with cross-functional teams to ensure alignment and coordination across projects.
  • Facilitate communication and collaboration among project team members, fostering a positive and productive team environment.
  • Support the implementation of project management best practices and process improvements within the organisation. 
  • Provide administrative support as needed to the projects included under the People transformation plan.
  • Maintain project documentation and files in a central repository.

Your qualifications and key criteria

  • Bachelors degree in Business Administration, Project Management, or related field. 
  • 1-2 years of experience in project coordination or administration. 
  • Strong organisational and time management skills, with the ability to prioritise tasks effectively.
  • Excellent communication and interpersonal skills, with the ability to work collaboratively across teams.
  • Familiarity with web-based collaborative platform, such as SharePoint and Confluence.
  • Familiarity with Agile project management methodologies and tools (e.g., Microsoft Project, Asana, Trello, Jira).
  •  Attention to detail and a commitment to quality and accuracy.
  • Ability to adapt to work independently changing priorities and manage multiple projects simultaneously.
  • Fluent in English, both written and spoken.
  • Eligible to live and work in the EU.
  • Hold a current unrestricted worldwide passport.
  • Able to pass an aviation security vetting process, that includes an enhanced background check* or be in possession of a current airside pass for the airport as this position is based in Dublin.
