Position Summary
We’re looking for a detail-oriented, proactive Sales Administrator to support our growing MRO Sales Team at FlyExclusive. This role is essential in streamlining our sales processes, improving customer follow-up, and ensuring timely and accurate quoting, scheduling, and internal communication between Sales, Operations, and Finance.
The Sales Administrator will serve as the operational backbone of the sales team—handling CRM updates, quote coordination, customer document prep, and other key administrative tasks to help drive revenue and deliver seamless experience for our clients.

• CRM Management: Maintain and update HubSpot (or equivalent CRM), track deal progress, and ensure accurate pipeline visibility.
• Proposal Preparation: Draft scopes of work, customer-facing documentation, and sales presentations as needed. Assist in creating, formatting, and distributing quotes for MRO services across Paint, Interiors, Avionics, and Maintenance Services.
• Cross-Functional Support: Collaborate with Sales Project Managers to gather necessary information.
• Customer Communication: Coordinate appointment scheduling and confirmation/ follow-up emails.
• General Support: Assist with any other activities and projects assigned by the Director of MRO Sales
• Customer Communication: On a as needed basis, coordinate follow-up emails, appointment scheduling, and inbound inquiry routing.
• Event Support: Provide support for events. Help coordinate logistics and marketing materials for industry events, trade shows, and customer site visits

Physical Requirements
• Prolonged periods of sitting at a desk and working on a computer.
• Ability to occasionally stand, walk, bend, or reach as needed in an office environment.
• Must be able to lift up to 15 pounds at times (e.g., for event materials or office supplies).
• Ability to focus on detailed work for extended periods.
• Must be able to communicate effectively in person, over the phone, and via email.
