We are seeking a highly organized, detail-oriented, and discreet Part 91 Flight Scheduler to coordinate all aspects of private aircraft scheduling and logistics for a privately operated aircraft. This role involves close collaboration with flight crews and administrative staff to support safe, efficient travel while also assisting with general administrative and family-related scheduling needs.
The ideal candidate will bring strong communication skills, adaptability, and professionalism to a role that supports both flight operations and administrative functions.
Key Responsibilities:
Flight Scheduling & Coordination:
- Plan and schedule domestic and international flights under Part 91 operations.
- Coordinate with pilots, maintenance personnel, and FBOs.
- Ensure aircraft availability aligns with maintenance timelines, crew duty requirements, and applicable regulations.
- Manage trip planning needs such as customs arrangements, overflight/landing permits, and route logistics.
- Maintain flight scheduling software and update trip itineraries in real-time.
- Monitor weather, NOTAMs, and airspace restrictions to ensure smooth operations and adjust plans as needed.
Administrative & Family Support:
- Work closely with administrative staff and family members to align travel plans with personal calendars and events.
- Provide clear, timely itineraries and updates to all relevant parties.
- Coordinate accommodations and catering in line with traveler preferences.
- Maintain confidentiality and professionalism when handling personal travel details.
- Assist with general administrative tasks related to scheduling, expense reporting, and vendor coordination.
Qualifications:
- 3+ years of experience in flight scheduling, preferably under Part 91 operations.
- Familiarity with FAA regulations, international trip planning, and crew scheduling.
- Strong organizational and communication skills.
- Ability to manage multiple priorities, respond to last-minute changes, and work in a fast-paced environment.
- Demonstrated discretion and professionalism.
Preferred Qualifications:
- Bachelor’s degree in Aviation Management, Business, or a related field.
- Experience coordinating international travel logistics (e.g., permits, customs, ground handling).
- Basic understanding of aircraft types, capabilities, and performance.
- Previous experience in administrative support, travel coordination, or scheduling roles.
