Summary:

Our client is seeking entry-level candidates to provide administrative and data entry support within the Finance and Labor Coordination departments. This role involves maintaining accurate financial records, supporting workforce scheduling and onboarding, and managing organized administrative systems. Training will be provided, but candidates must have strong attention to detail and a willingness to learn.

Key Responsibilities:

  • Accurately enter financial transactions into QuickBooks, including invoices, bills, payments, and payroll records.

  • Maintain up-to-date employee rosters, assignments, and labor tracking spreadsheets.

  • Support onboarding documentation for contractors and employees, ensuring timely collection and data entry.

  • Prepare and organize digital and paper files for audits, reporting, and compliance requirements.

  • Communicate with vendors, contractors, and internal teams regarding timesheet submissions, payment statuses, and documentation needs.

  • Assist with generating reports from QuickBooks and internal tracking systems as requested by management.

  • Perform general administrative tasks such as filing, data verification, scheduling assistance, and email correspondence.

Requirements:

  • Entry-level; 0–2 years of relevant experience.

  • Prior experience with QuickBooks is preferred but not required—training will be provided.

  • Strong data entry skills with a high level of accuracy and attention to detail.

  • Ability to handle sensitive financial and personnel information with discretion.

  • Proficiency with Microsoft Office Suite (Excel, Outlook, Word) and Google Workspace (Sheets, Docs, Gmail).

  • Strong organizational skills and ability to manage multiple tasks and deadlines.

  • Basic understanding of finance, payroll, or administrative processes is a plus.

  • Good communication skills and ability to work collaboratively with multiple departments.
