Primary Objective of the Position:
The Supervisor, Purchasing and Inventory Sales is responsible for the day-to-day coordination of purchasing operations, inventory sales activities, and materials management functions. This role supports the efficient flow of material requests, the timely procurement of aircraft parts and supplies, and the execution of inventory sales in accordance with regulatory and company standards.
Key Responsibilities:
- Supervise daily activities of purchasing staff to ensure timely processing of material requests and purchase orders.
- Monitor and track outstanding purchase requisitions, ensuring updated expected delivery dates and clear communication with internal stakeholders.
- Support the Manager in implementing purchasing control procedures and maintaining compliance with airworthiness requirements.
- Ensure purchase quote processes are followed and documentation is properly recorded to meet quality and financial audit standards.
- Oversee the maintenance and accuracy of the Inventory Sales List and ensure parts are priced competitively according to current market value.
- Follow up on AOG (Aircraft on Ground) shipments, ensuring proper coordination with MCC and timely updates.
- Provide on-the-job support and training to purchasing personnel, helping them understand procedures and compliance requirements.
- Support MRO and Engine shops with timely procurement and availability of materials, LLPs, and tooling.
- Recommend vendors for inclusion in the Approved Vendor List (AVL), coordinating with Quality Assurance.
- Assist in scheduling staff coverage, including shift rotations, vacation planning, and overtime assignments.
- Work closely with the finance department for invoice reconciliation and purchasing controls.
- Ensure proper use and upkeep of maintenance/purchasing software systems.
- Contribute to the development and revision of policies and procedures affecting the Purchasing and Inventory Sales team.
- Responsible for your training and the training of the direct reports, ensuring employees remain current with all technical and regulatory training requirements to function in their assigned role.
- Promote a clean, organized, and safe working environment in compliance with SMS and applicable safety regulations.
- Ensure compliance with Safety Management System (SMS) and safety / security policies, procedures and standards.
- Perform other duties as required in support of departmental goals. Perform any other related duties incidental to the work described herein.
Minimum Qualifications:
- Diploma or degree in Supply Chain Management preferred.
- PMAC (Purchasing Management Association of Canada) certification is an asset.
- Minimum of 5 years of experience in aviation materials management. Experience in a supervisory or team lead role is preferred.
- Strong understanding of purchasing practices, aircraft parts procurement, and regulatory requirements (CARs, FAA, EASA).
- Proficiency with Microsoft Office tools, especially Excel, and experience with aviation purchasing/ERP systems.
- Excellent written and verbal communication skills with the ability to relay technical information clearly.
- Strong attention to detail, organizational skills, and the ability to manage multiple priorities under pressure.
- A proactive approach to problem-solving and a commitment to continuous improvement.
